COVID-19

Below you will find information regarding updated hours of operation, campus closures, cancelled events and more. Please complete the UIW COVID-19 Question Form with any additional questions.

Commencement

After careful consideration and with the utmost concern for the health and well-being of our graduates and their families, UIW has made the difficult decision to cancel the Spring 2020 commencement ceremonies. The events, which were to be held Friday, May 8 and Saturday, May 9 at the Freeman Coliseum, will now take place online in a virtual format in May.

The time and date of the virtual ceremony will be shared as soon as possible. Graduates who were scheduled to participate in the May ceremony will also be offered the opportunity to take part in our December commencement ceremony. In the meantime, our teams are working to develop additional opportunities to recognize our Spring 2020 graduates’ achievements this fall, and the Commencement Committee will share those with you in the coming weeks.

Details regarding caps, gowns, special initiatives, etc., are forthcoming. Announcements will be shared as information becomes available. If you have any questions about the May 2020 commencement ceremony, please email pr@uiwtx.edu.

Maymester and Summer 2020 Sessions

UIW will continue to offer all classes online during the Maymester and Summer 2020 sessions. This change will be in effect for all courses in May, in the full Summer “extended” session, Summer I and Summer II. We will continue to monitor the virus situation closely, and if it becomes safe to return to campus, faculty will explore the possibility of adding on-campus courses to the summer schedule.

Students should work closely with their advisors to review the summer schedules starting Monday, April 6 to check for the most current summer offerings.

UIW Campus and Building Access

Beginning Monday, March 23, UIW will limit access onto campus. One entry point will be available at Broadway and Burr Rd. All gates and the 281 entry point will be closed. This is for the protection and safety of our students and campus community.

In addition, many of the office and administrative buildings will be locked. If employees are working and need entry into a building, call UIWPD at (210) 829-6030. UIWPD can assist with access to the buildings but not into individual offices. Please note that while students will be taking classes online, employees are working both remote and onsite. Service offices will be staffed to answer questions but will be not be open to the pubic or available for face-to-face meetings. A list of offices and numbers will be available at  my.uiw.edu/safety/coronavirus.html on Monday, March 23.

Easter Holiday and Battle of Flowers

Please be advised the University will observe the religious holiday of Good Friday (April 10, 2020) as planned. The additional day off previously granted by the President on the Thursday before Good Friday or the Monday after Easter should also be observed as planned. Hourly employees code Good Friday as HOL and the additional day off as TWP in Web Time Entry.

The Battle of Flowers Holiday scheduled for April 24, 2020 has been postponed to November 13, 2020. The new date was established by the City of San Antonio and Fiesta Commission. UIW will observe the Battle of Flowers holiday on November 13, 2020, as determined by the City. Employees should continue to work on April 24, and faculty and students should continue their course activities that day as well.

Room and Board Refunds

Resident students who move out of the dorms for the remainder of the spring semester will receive a prorated refund of charges for room and board (weekly all you can eat meals) as well as any unused declining balance points on their student accounts. The prorated refunds will be effective Monday, March 16 for those who check out on or before Sunday, March 22. The prorated refunds will be effective Monday, March 30 for those who check out on or after Monday, March 23. Institutional (unfunded) financial aid will be reduced accordingly. Federal and State (funded) financial aid will not be adjusted related to the room and board refunds. All refunds will be processed no later than April 10 after move-outs are completed on March 30 and any exemptions are finalized. For students who still have an outstanding balance, this will reduce the balance due. If the refund results in a credit balance on the student account, a refund will be processed through accounts payable. To ensure there is not a delay in payment, students need to enroll in direct deposit if they have not already done so. Please click on the link for  direct deposit instructions.

Parking Update

Open parking on the main campus will continue to be operational for the extended week of spring break, March 16, 2020 through March 20, 2020. Effective Monday, March 23, 2020, employees and students holding UIW decals may park in any lot on the main campus until further notice. The Broadway lots are still open. However, effective immediately, the shuttles are no longer being operated. Please note that parking regulations will continue to be enforced; therefore, a parking decal is required to park in University parking lots for the remainder of the spring semester. If you do not have a parking decal and need to work on campus, please contact the Business Office at  busad@uiwtx.edu or (210) 829-6043.

The University will be refunding or crediting student accounts for 2 months of parking upon request if they do not intend to park on campus for the remainder of the semester. To request a refund, please email the Business Office at  busad@uiwtx.edu. If there is an outstanding balance due on the student account, a credit will be applied to the account which will reduce the balance. Otherwise, a cash refund will be issued.

If a cash refund is due, the business office will refund by direct deposit or check. If a resident student is receiving a prorated room and board refund, the parking refund will be processed at the same time through accounts payable. Please  click here for direct deposit instructions to ensure there is no delay in processing the refund payment. All checks will be mailed to the permanent address on file. Refunds via check and direct deposit will be processed no later than Friday, April 10, after move-outs are completed and student housing exemptions are finalized.

Parking refunds will be as follows:

  • Commuter/Handicap - $50
  • Resident - $136

The University will not be refunding employees for parking.

UIW Counseling Services

In order to continue to serve you, UIW Behavioral Health Services is offering counseling to enrolled students via ZOOM or phone who are residing in Texas. If you are interested in receiving counseling, please call (210) 832-5656 in order to initiate these services or to ask questions. We will be happy to discuss how the services work and to schedule you to speak with a counselor.

Health Services

UIW Health Services will begin seeing students and employees via Zoom Telemedicine on Thursday, March 26. The patient  must physically be in Texas during the scheduled telemedicine visit. To schedule an appointment call (210) 829-6017 or (210) 829-3175.

Student and Employee medical “sick visits” are available:

  • Monday – Friday, 9 a.m. – 4:30 p.m.

Student psychiatry visits are available (At this time the psychiatrists cannot see new ADD/ADHD patients):

  • Tuesday, 9 a.m. – noon and 2:30 – 5 p.m.
  • Wednesday, 11 a.m. – 5 p.m.
  • Thursday, 2:30 p.m. – 5 p.m.

Updated SEC Coffee Shop Hours

The SEC Coffee Shop will be operating under new hours beginning tomorrow, Friday, March 27 through Monday, March 30. The new hours of operation are as follows:

Lunch Service: 11 a.m. – 1:15 p.m.
Dinner Service: 5 p.m. – 7 p.m.
Coffee Shop: 11 a.m. – 7 p.m.

Students utilizing board meal will be eligible to pick up a breakfast to-go box with dinner from 5 – 7 p.m.

Cardinals’ Cupboard Update

The University of the Incarnate Word and the Ettling Center for Civic Leadership & Sustainability is closely monitoring the coronavirus outbreak globally and is receiving guidance from the City of San Antonio, Bexar County, the State of Texas, and San Antonio Metro Health, in addition to other government and health agencies.

As a result of the City of San Antonio’s Mayoral Declaration on March 23, 2020 regarding the “Stay Home, Work Safe Order”, we will be closing the Cardinals’ Cupboard Food Pantry effective immediately. Study Abroad - Heidelberg

Due to the effects of COVID-19, UIW is cancelling both the Summer and Fall programs at the UIW-Heidelberg center in Germany. A similar program will be offered in Fall 2020 with a sister school in the area. Additional information regarding the new site will be released in the future.

The UIW-Strasbourg program in France continues to accept applications for Fall 2020 and Spring 2021.

UIW Library Closures

Effective Tuesday, March 17, UIW libraries, including checkable items and computer labs, will be closed. UIW Emergency Management will continue to monitor the situation and provide updates regarding library hours on or before Wednesday, April 1. Because students rely on services that UIW libraries provides, library staff has taken the following steps to provide support for students and faculty:

  • Access to Resources
    • Information for online support can be found on the main library webpage at  my.uiw.edu/library.
    • Faculty are encouraged to request course assignment  LibGuides that students will be able to access for any library research assignments during this time period. If in-person instruction has been scheduled, please contact Leslie Todd (210-829-3841) for an alternative delivery option.
    • Library staff will continue operating Ask-a-Librarian e-mail and chat for regular desk hours during this closure. Health Profession libraries will be monitoring their reference e-mails as well.
    • Faculty and students are encouraged to contact liaison librarians directly for assistance.  Click here for a list of liaison librarians and their contact information.
    • If faculty want to embed a permalink/durable link to a specific article or other licensed e-resource, visit the  libguides permalinks page and click on the tab that gives you step-by-step instructions on how to do this for each content provider.
    • Any overdue notices for UIW Library resources may be disregarded during this time period. All accounts will be resolved upon return to normal operations. Items currently checked out can be held until further notice.
    • Interlibrary loan will be unavailable during this time period. If you currently have an item on interlibrary loan, please contact us at (210) 829-3835 so we can try to get your borrowing period extended.
  • Internet Connection
    • We recommend a minimum bandwidth of 600 kbps for both upload and download speed. Most providers, even satellite, offer basic packages that exceed this amount. If users are unable to obtain these speeds, they should not worry. Most applications and products will work just fine at slower speeds. This recommendation is a speed that will provide an optimal experience across all applications.
    • If your household does not have internet, some providers may offer special access deals, including free access for a limited time. Click the links below for more information on special access deals:
  • Access to devices
    • Employees or students who may not have the necessary technology resources at home should contact the main UIW Help Desk between 7 a.m. and 5 p.m. to discuss additional options. Writing and Learning Center and  Tutoring Services

  • The Writing and Learning Center and Tutoring Services are now offering online tutoring for course content, study skills, and writing. Students taking undergraduate courses will be able to access the following services:
  • Weekly drop-in group sessions for a range of courses in the sciences, business and nursing.
  • Individual sessions for writing and study skills.
  • Individual online tutoring for a range of subjects in the sciences, business, mathematics, writing and Spanish through Smarthinking, accessible 24 x 7.
  • Students can self-enroll in the Blackboard page "Tutoring Resources" to access tutoring. Students can also call (210) 829-3870 or email wlc@uiwtx.eduor  tutoringservices@uiwtx.edu with any questions.

UIW Libraries

UIW Help Desk

  • 24/7 call-in support will continue at (210) 829-2721. UIW personnel will staff the Help Desk from 7 a.m. – 7 p.m. An after-hours service will be available outside of these hours.
  • If necessary, users may schedule an individual face-to-face meeting for hands-on support. Users must call the help desk in advance to set up a meeting.

LibGuide (Online Library)

  • Students contact your discipline liaison librarian for assistance as well as the online chat and e-mail. Don't forget - there's a LibGuide for that... How to use the Library from home and much more!
  • If you can log in to Cardinal Apps but cannot access library electronic resources, please contact the UIW Libraries Reference Desk: 210-829-3835, chat, or reference@uiwtx.edu.

  • Students that may not have the appropriate technology resources at home should contact the main UIW help desk between 7 a.m. and 7 p.m. to discuss additional options.
